When you’re in the digital marketing or search industry like I am, your inbox can quickly fill up with unwanted emails that distract from important communications. Fortunately, setting up an effective spam filter with targeted keywords can save you time and frustration. Below are 48 keywords that will make your email management easier by filtering out a large amount of spam. These aren’t the only keywords in my spam filter, but they should significantly help reduce the volume of irrelevant emails.

These keywords cover common terms from unsolicited outreach emails, link-building offers, guest posting services, and various SEO-related services. By blocking these terms, you’ll have a cleaner, more focused inbox.

Quarantine Emails Sent “From Yourself”

Another effective strategy is to quarantine any emails that appear to be sent from your own email address. This is a common trick used by spammers to bypass filters. I have a setting in my spam filter that automatically quarantines such emails, ensuring that I don’t waste time sorting through fake messages.

Block Emails Without DMARC, SPF, and DKIM

One of the best defenses against spam is to automatically filter out emails from domains that don’t have DMARC (Domain-based Message Authentication, Reporting, and Conformance) set up. DMARC is an email authentication protocol designed to detect and prevent email spoofing. When a domain lacks DMARC, it opens the door to phishing attacks and spam.

Here’s why it’s important:

  • DMARC: Ensures that legitimate emails from your domain are properly authenticated before reaching your inbox.
  • SPF (Sender Policy Framework): This protocol verifies that the email being sent is from an authorized mail server for that domain. Without SPF, spammers can forge email headers to appear as if they’re coming from a trusted source.
  • DKIM (DomainKeys Identified Mail): DKIM adds a digital signature to emails, which verifies that the email hasn’t been altered in transit. Without DKIM, your emails are more susceptible to tampering and fraud.

If an email lacks any of these authentication methods, it’s a clear red flag, and automatically filtering them out will help protect your inbox.

Additional Tips for Setting Up an Effective Spam Filter

  • Whitelist trusted contacts: Always make sure to whitelist any important senders to avoid legitimate emails getting caught in the filter.
  • Use automatic quarantine features: If your spam filter, like Spam Hero, has an automatic quarantine feature for suspicious emails, activate it to ensure spam doesn’t even reach your inbox.
  • Regularly update your keywords: Stay on top of evolving spam trends by regularly updating the keywords in your spam filter.

With these strategies, including the 48 keywords and DMARC/SPF/DKIM filtering, you can create an inbox that’s much easier to manage and free from unnecessary distractions. By using Spam Hero, you’re already leveraging a powerful tool to block unwanted communications.
